Overview

This position provides administrative support to all clinic staff and its departments, with emphasis on registration, cash reconciliation, clinic work flow, patient cycle time, customer service, management of appointment schedule, and staff work schedule.

Responsibilities

  • Provides support to all clinic staff, which includes, but is not limited to, nurses, medical assistants, registration, and other support staff in medical and dental departments.  Coordinates the day to day activities of the clinic, to enhance patient satisfaction and increase physician productivity.
  • Maintains required logs to ensure best practice is applied across the clinic and provide recommendations and follow-up actions to operational inefficiencies.
  • Inputs time edits and PTO/Sick time requests into the Kronos timekeeping system.
  • Manage and maintain clinic supply inventory collaboratively with Senior Clinical Nurse.
  • Manage and maintain clinic office supply inventory collaboratively with Senior Registration Specialist.
  • Completes and submits monthly reports as required with recommendations or action plans on any clinic issues.
  • Ensure accurate collection of patient demographics, insurance verification, bank deposits and auditing cash drawers’ daily. 
  • Assists the Senior Clinical Nurse or other manager on plans for assigning, and directing the work of all clinic staff.
  • Supports the practice by participating in quality assurance activities.
  • Processes confidential and sensitive information as required.
  • Follows department policies and procedures at all times.
  • Attends and participates in monthly department staff meetings and committees and/or projects, as assigned.
  • Facilitates departmental communications. Must work collaboratively with physicians, staff, administration, external agencies, and patients.
  • Takes patient complaints and compliments and works toward resolution with communication back to patient. Enter complaints and compliments into data tracking software (RiskQual).  Inputs new patient Tracers (surveys).
  • Provides input on annual and new hire performance evaluations.
  • Assists all patients, family members, physicians, visitors, and employees as needed.  
  • Emergency duty may be required of the incumbent that includes working in Red Cross shelters or to perform other emergency duties including, but not limited to, responses to threats or disasters, man-made or natural. Additionally, incumbents are required to perform emergency response and management duties for Palm Beach County as required.

Qualifications

Education:

  • Bachelor's degree in business administration, health care administration, or a closely related field preferred. Equivalent combination of education and experience may substitute for the minimum requirements listed.

 

Experience:

  • Five (5) years of experience in a health care environment. Physician office management and supervisory experience preferred. FQHC experience highly desirable.

 

Certification:

  • N/A Licensure: Valid Florida driver's license required.
