Overview

This position supervises and provides administrative support to all clinic staff and its departments, with emphasis on registration, cash reconciliation, clinic work flow, patient cycle time, customer service, management of appointment schedule, and staff work schedule. Clinic Supervisor also directly supervises the co-located Primary Care and Behavioral Health frontline staff, as well as coordinates all security services in the clinic.  This position serves as the operational support to clinical and specialty leaders, assisting in the continuous improvement of processes and programs within the primary care and behavioral health clinic, with an emphasis on the substance use disorder program.

About the C. L. Brumback Primary Care Clinics 

Our 10 Federally Qualified Health Centers across the county serve adults and children with or without insurance and regardless of ability to pay. We also operate three mobile clinics that provide medical services for the homeless and the underserved. In 2022, we served 39,000 unique adult and pediatric patients who received high-quality comprehensive health services including medical, dental, behavioral health, psychiatric care, women’s health, pharmacy services, outpatient substance use disorder treatment, and community resource programs.

Responsibilities

Essential Functions:

  • Supervises all aspects of primary care and behavioral health frontline staff, operations including training, review, scheduling, follow up, disciplinary action, and performance reviews.
  • Assists the Behavioral Health Program Manager with all aspects of the co-located primary care and behavioral health program with an emphasis on the substance use disorder program.
  • Coordinates all security needs with the Director of Security Services department and the Department of health when applicable
  • Provides support to all behavioral health clinic staff, which includes, but is not limited to, nurses, medical assistants, registration, and other support staff in medical and dental departments.  Coordinates the day to day activities of the behavioral health clinic, to enhance patient satisfaction and increase physician and clinician productivity.  Assists Directors in management of their teams when onsite input is needed.
  • Approves time edits and PTO/Sick time requests for behavioral health frontline staff, including entry in the timekeeping system.  Approves all schedule changes and holiday requests for frontline staff.  Also audits and reports on attendance occurrences.
  • Manages primary care and behavioral health clinic templates, provider schedules, and Saturday schedules with direction from the Director of Clinic Operations.
  • Manages and maintains clinic supply inventory collaboratively with Senior Clinical Nurse.
  • Manages and maintains clinic office supplies collaboratively with Senior Registration Specialist.
  • Maintains all required regulatory and administrative logbooks and binders.
  • Carries the critical labs cell phone when needed and designates calls to the appropriate person as needed.
  • Responsible for sending all receiving and ordering documentation to clinic administration.
  • Completes and submits monthly reports as required with recommendations or action plans on any clinic issues.
  • Ensures accurate collection of patient demographics, insurance verification, bank deposits, daily cash drawer reconciliation, end of day reconciliation, and petty cash audit.  Ensures all appropriate paperwork is sent to Finance on a daily basis.
  • With the assistance of the Senior Clinical Nurse and Senior Registration Specialist, provides assignment and direction to all clinic staff.
  • Supports the practice by participating in quality assurance activities, including front line auditing.
  • Acts as liaison to coordinate all facility activities, including those needing the District’s internal facilities staff.
  • Performs back up duties for registration when needed and is responsible for maintaining designated EHR work queues.
  • Processes confidential and sensitive information as required.
  • Follows department policies and procedures at all times.
  • Leads and coordinates department staff meetings and committees and/or projects, as assigned.
  • Facilitates departmental communications. Must work collaboratively with physicians, pharmacy staff, clinic staff, administration, landlords, vendors, external agencies, and patients.
  • Takes patient complaints and compliments.  For complaints, works toward resolution with communication back to patient.  Enters complaints/compliments into Event Reporting System.
  • When appropriate, enters Incident Reports into the Event Reporting System and completes necessary investigations; communicates with Risk Manager and completes assigned workloads.
  • Provides input on annual and new hire performance evaluations.
  • Assists all patients, family members, physicians, visitors, and employees as needed.  
  • Emergency duty may be required of the incumbent that includes working in Red Cross shelters or to perform other emergency duties including, but not limited to, responses to threats or disasters, man-made or natural.
  • Additionally, incumbents are required to perform emergency response and management duties for Palm Beach County as required.

Qualifications

Education: 

  • High School Diploma or GED required. Bachelor's degree in Business Administration, Health Care Administration, Psychology, Social Work, or a closely related field preferred.

Experience: 

 

  • Five (5) years of experience in a health care environment highly desirable. Physician office management and/or supervisory experience preferred.
  • FQHC or specific experience in Behavioral Health operations/management or clinical care (LCSW etc.), highly desirable.

Licensure:

  • Valid Florida Driver’s License required.
